1. Agreement to Terms
By registering a participant with Football Concept Academy, the parent or legal guardian confirms that they:
- Have read and understood this document in full
- Agree to the Terms & Conditions, Liability Waiver, Refund Policy, Privacy Policy, and Media Consent
- Accept these conditions on behalf of the participant
Participation in any program constitutes full acceptance of these terms.
2. Participation & General Conditions
Participants must:
- Follow all coach instructions
- Treat coaches, staff, players, and facilities with respect
- Wear appropriate football equipment (boots, shin pads, water bottle)
- Participate safely and responsibly
Football Concept Academy reserves the right to refuse or remove any participant due to unsafe, disruptive, or inappropriate behaviour.
3. Player Code of Conduct
Participants must:
- Show respect at all times
- Avoid bullying, aggression, or misconduct
- Follow instructions during all sessions
- Promote a positive training environment
Failure to comply may result in suspension or removal without refund.
4. Parent / Guardian Code of Conduct
Parents and guardians agree to:
- Act respectfully towards coaches, staff, and other families
- Avoid abusive or disruptive behaviour
- Support a positive sporting environment
The academy may remove families who breach these expectations.
5. Risk Warning & Liability Waiver
Football is a physical contact sport involving inherent risks, including but not limited to:
- Sprains and strains
- Falls and collisions
- Fractures
- Head or impact injuries
- Other minor or serious injuries
By participating, parents acknowledge and accept these risks.
To the maximum extent permitted by law:
- Football Concept Academy is not liable for injuries sustained during participation
- The academy is not responsible for loss or damage of personal property
- Participation is voluntary and at the participant’s own risk
6. Medical Declaration & Emergency Consent
Parents confirm:
- The participant is medically fit to participate
- All relevant medical conditions have been disclosed
- Emergency contact details are accurate
In case of injury or emergency, the parent authorises the academy to:
- Provide basic first aid
- Contact emergency services
- Seek medical treatment if required
All medical costs remain the responsibility of the parent/guardian.
7. Payments & Fees
- Fees must be paid in advance (weekly, monthly, or term-based depending on the program)
- Places are reserved upon registration
- Non-payment may result in suspension from training
Unless otherwise stated:
- Fees are non-transferable
- Fees are non-refundable
- Missed sessions are not credited or refunded
8. Refund Policy
All payments made to Football Concept Academy are generally non-refundable.
This includes:
- Weather-related cancellations where alternative coaching is provided
- Missed sessions due to injury, illness, travel, or personal reasons
- Change of mind or withdrawal from the program
- Partial attendance or inability to attend sessions
Weather-related disruptions will be managed through alternative coaching solutions, not refunds.
Refunds will only be provided where required under Australian Consumer Law or where the academy is unable to provide a reasonable alternative service.
9. Weather & Field Closure Policy
Training may be modified or cancelled due to:
- Extreme heat
- Heavy rain or storms
- Lightning
- Poor air quality
- Flooding or unsafe field conditions
- Council or venue closure
Where this occurs, Football Concept Academy will provide alternative coaching, which may include:
- Extended session time (e.g. +30 minutes added to future sessions)
- Rescheduled sessions
- Make-up training time distributed across future sessions
- Online coaching sessions (Zoom tactical/technical analysis)
All decisions are made at the discretion of the academy based on safety and operational requirements.
10. Media Consent & Release
By enrolling, parents consent to the academy capturing photographs and video footage of participants during training and activities.
These may be used for:
- Coaching and player development
- Social media content
- Website content
- Marketing and promotional materials
Parents grant permission for use without further approval or compensation.
11. Media Opt-Out
Parents who do not consent must notify the academy in writing before participation.
The academy will make reasonable efforts to exclude participants from public-facing content where practical.
12. Privacy Policy
The academy collects personal information including:
- Participant name and details
- Parent/guardian contact information
- Medical and emergency information
This information is used for:
- Program administration
- Safety and emergency purposes
- Communication with families
- Operational management
Information is stored securely and only accessed by authorised personnel.
13. Cancellation & Attendance
- No refunds or credits for missed sessions
- Make-up opportunities may be offered at the academy’s discretion
- Attendance is the responsibility of the participant
14. Extreme Weather Disclaimer
Weather disruptions are part of outdoor sport.
Where possible, the academy will provide alternative coaching instead of cancelling value, including:
- Session extensions
- Rescheduling
- Online coaching sessions
15. Property & Personal Belongings
- Participants are responsible for their belongings
- The academy is not responsible for lost, stolen, or damaged items
16. Intellectual Property
All training materials, session structures, videos, and academy content remain the property of Football Concept Academy and may not be copied or distributed.
17. Termination of Participation
The academy may suspend or terminate participation if:
- Policies are breached
- Behaviour is unsafe or inappropriate
- Fees are unpaid
No refunds apply in such cases.
18. Changes to Terms
Football Concept Academy may update these terms at any time. Continued participation indicates acceptance of updated terms.
19. Governing Law
These Terms are governed by the laws of New South Wales, Australia.
20. Acceptance
By registering, the parent/guardian confirms full acceptance of all terms contained in this document.
